Fundraising Guidelines
Recognized student organizations must follow these steps to properly reserve space and plan an event:
1. Reserve Your Event Space (25Live)
Use 25Live to reserve your event location:
π Reserve Event Space (25Live)Submit your space request as early as possible β the more advance notice, the better.
2. Submit an Event Planning Form on LINC
All student clubs and organizations are required to complete an Event Planning Form on LINC.
This form must be submitted at least two weeks before the event.
To ensure enough time for approvals, plan for the full process to take 3β4 weeks.
4. Arrange Event Security
Security must be coordinated through Lehigh University Police Department (LUPD):
Request Police/Security for EventAdditional Late Duty Building Staff may be required depending on the time, date, and location of your event.
5. Wait to Advertise
Do not advertise your event (flyers, posters, emails, social media, etc.) until:
Your event has been fully approved, and
You have received confirmation of your space and security arrangements.
Bake Sale Guidelines:
Recognized Student Organizations may hold bake sales on campus to raise funds for their groupβs activities as follows.
- Homemade baked goods are strictly prohibited.
Students or members of the organization may not prepare or package the food themselves.
Approved Food Sources
Bake sale items must be either:
Commercially produced baked goods (store-bought), or
Purchased/provided through Lehigh Dining Services.
Packaging Requirements
All baked goods must be individually pre-packaged:
Either through commercial packaging, or
By the approved food vendor (e.g., Lehigh Dining).
Examples of Acceptable Items
Rolls, bread
Cookies, brownies, cupcakes
Pies with non-dairy fillings
Granola products
Commercially packaged snacks (e.g., granola bars, candy bars, chips)
Not Allowed
Any baked goods containing:
Custards
Creams
Meringues
Cheesecakes
Other dairy-based fillings
Pie in the Face Fundraising events:
Based on various risk factors reviewed by the University, this event is no longer permitted to take place and will not be up for review moving forward. We would encourage your organization and any co-sponsoring organizations to review the mission of your organization(s) and align your fundraising efforts. Depending on your philanthropic organization, consider ways to raise awareness and align your fundraising efforts to engage others, supporters are more supportive if they are able to connect what you are doing for the philanthropic organization you are raising money for.
Poker Tournaments:
The event cannot be advertised off campus. Advertising on campus can not be done until approval for the event has been given.
Event Advertising
No off-campus advertising is allowed for the event.
On-campus advertising is allowed only after event approval has been granted.
Event Approval & Security
You must complete an Event Form with Lehigh University Police Department (LUPD):
Request Police/Security for EventPolice or security may be required for your event.
Fees, Donations, and Money Handling
Participation must be free β you cannot charge a fee.
Buy-ins are not allowed β money may not be exchanged in any form.
Donations:
Donations can be accepted voluntarily, but not required.
Donations must be in the name of a pre-approved charity.
The charity name must be submitted in advance.
All collected donations must be delivered to the charity within 48 hours after the event.
A record of all donations must be kept and must match the amount given to the charity.
Donation funds may not be used to purchase prizes.
Prizes
No cash or monetary prizes are allowed.
Prizes must be:
Based on skill, talent, or knowledge, not chance.
Not offensive in any way.
Donated or purchased using a University account.
Not related to alcohol, tobacco, or illegal substances.
A list of all prizes must be submitted for approval at least one week before the event.
